Vendor Invitation Letter

You are invited to participate in the Tampa Bay Black Expo and Vendor Fair, dedicated to fostering economic growth and cultural vibrancy within the Tampa Bay area. This event will create a dynamic platform that celebrates and elevates Black entrepreneurs, artists, and entertainers. Our mission is to connect, inspire, and empower by showcasing innovative businesses, providing networking opportunities, and highlighting the rich cultural contributions within the Black community.


The Tampa Bay Black Expo is a community service organization working to create and advance opportunities for families in the African-American community. We are focused on promoting diversity and cultural appreciation by ensuring all events are inclusive of the entire community. This experience empowers both youth and adults and provides a family-friendly environment. We strive to build lasting relationships and support the success of Black-owned businesses. We invite all exhibitors, non-profit organizations, and vendors to be part of this unique opportunity to connect with thousands of people from the Tampa Bay area.


The theme for the inaugural Black Business and Community Expo 2025 is “Together We Rise.” Our community is stronger when we connect, share our experiences, and learn from one another. The theme emphasizes coming together, working together, and rising together as a community.

Goals for the Tampa Bay Black Expo

  1. Promoting Entrepreneurship: Showcase new and established Black-owned businesses that create jobs and stability in the community.
  2. Educational and Training Opportunities: Provide access to resources and education to support the growth and development of African-American businesses and entrepreneurs, including workshops, seminars, and panels from experts in various fields.

Expo Event Details

Dates: Saturday, July 26, and Sunday, July 27, 2025

Vendor Registration

Vendor registration begins Friday, November 1, 2024. The early bird special submission deadline is Tuesday, December 31, 2024.


Setup Dates

  • Friday, July 25, 2025: 8:00 AM – 5:00 PM
  • Saturday, July 26, 2025: 8:00 AM – 10:00 AM


Breakdown Dates

  • Sunday, July 27, 2025: 6:00 PM – 8:00 PM

Vendor Package

  • Vendors/Exhibitors must be operational on both days and will have access to the Entertainment Hall only.
  • The final cutoff date for vendor registration is June 30, 2025. There is limited space for 220 booths, assigned on a first-come, first-served basis. If the event is full when you apply, you may be placed on a waitlist.
  • The cost to be a vendor will be determined by the date of application and the amount of space requested. If selected, you will receive an email with instructions for payment, which must be made immediately to secure your space.
  • Approved vendors without a deposit risk of being placed on a waitlist. All payments are due within seven days of receiving your approval notification. Payments should ONLY be submitted through the Vendor Portal.
  • Booth assignments will be made on Tuesday, July 1, 2025, and an email will be sent to you with your booth number and location.

Additional Services

Electrical and Wi-Fi services are not included in the exhibit booth package. Vendors must complete the fairgrounds order form to purchase electrical hookups, internet, and telephone services. Payment for these services is due by Monday, June 30, 2025.


Waste Management

We provide dumpsters onsite for trash and recyclable items at no additional cost to the vendor. Vendors are responsible for managing their own waste and keeping their area clean.


Booth Specifications

Vendor/Exhibitor spaces are 10’ x 10’. You may apply for up to four spaces on your application.


Discounted Rates

Non-profit organizations and the Department of Public Safety can purchase booths at a 10% discount.

Refund Policy

There will be no refunds for vendor booths for any reason. By purchasing a vendor booth, you confirm that you have read and understand our no-refunds policy.


Rules and Regulations

  • Insurance: Vendors are responsible for their own insurance coverage. The Tampa Bay Black Expo is not liable for any loss, theft, or damage.

  • Health and Safety: Vendors must comply with local health and safety regulations. Food vendors must provide valid permits and adhere to food safety standards.
  • Product Restrictions: All items must align with the event’s theme and objectives. Offensive materials or products are not allowed.

HOW TO APPLY FOR VENDOR SPACE

  1. Application Form: Visit tampabayblackexpo.com.

  2. Exhibitor Application: Click on the “Exhibitor Application” link to access the form.

  3. Complete the Application: Fill out the online form with accurate business details and services to be showcased.

  4. Submit Payment: Once approved, submit the full payment to secure your booth.

  5. Confirmation: After submission and payment, your exhibit space will be confirmed, and you will receive details about your booth assignment. For questions, email [email protected].

Special Requirements: 

Additional fees may apply for certain services and amenities, including but not limited to furniture rentals, electrical hookups, internet access, telephone lines, and water supply. Please contact the event coordinator for specific pricing and availability of these services, as they are not included in the standard package and may vary depending on your individual needs.

Would you like to be featured in our vendor highlights? This will consist of an interview and a showcase of what your business offers. ( We will randomly select up to 10 vendors)
